Speaker guidelines

Below you will find the guidelines for speakers and session leaders.
If there are any changes, this page will be updated, so we kindly encourage you to check it on a regular basis.

Speaker guidelines and requirements

  • Please allow 3–5 minutes for discussion within the allocated time.
  • Speakers should limit the number of slides to ensure their presentation fits within the assigned time slot.
  • For audiovisual support, PowerPoint is the only format available.
  • Presentations can be uploaded via the Speaker Slide Center. Detailed instructions will be shared in due time.
    • Uploading is possible in advance from home or on-site at least 60 minutes before the symposium session starts.
    • Technical staff will be available to assist.
  • Speakers are advised to always bring their presentation on a USB stick in case last-minute changes are required.
  • Within the Speaker Service Center, laptops will be available to make changes to presentations if needed.
  • Please ensure that the PowerPoint presentation is set to an aspect ratio of 16:9
  • Speakers are asked to arrive in the room for their session 15 minutes prior to the scheduled start time.

Disclosure slide
For accreditation purposes, all symposium speakers are required to include a disclosure slide at the beginning of their individual presentation. This slide should indicate whether the speaker has any potential conflicts of interest and, if applicable, how these have been managed.

Hybride sessions
Participants may attend these sessions either in person in the meeting room or live via an online platform. To accommodate participants in different time zones, the session will also be available for on-demand viewing after the live event. On-site participants and live online attendees will be able to submit questions. Online participants through the chat function.

Session leader / Chair guidelines and requirements

  • Chairpersons are requested to take overall responsibility for ensuring that each session runs smoothly and on time. This includes guaranteeing that each Presenter is allocated sufficient—and equal—time for their presentation.
  • Following the presentations, Chairpersons are expected to facilitate the discussion and Q&A segment. They should ensure that as many questions as possible are addressed and that all Presenters have the opportunity to engage with the audience. Chairpersons may also encourage further questions or stimulate discussion and can act as discussants if appropriate.
  • Chairpersons are asked to arrive in the session room 15 minutes prior to the scheduled start time. This allows time to coordinate the session format and to ensure that all presentations are properly set up and accessible through the room’s IT facilities.
  • Should any assistance be required, support will be available in the room, or information will be provided to enable you to request help promptly.
  • All summaries and biographies are available on the congress website and in the mobile app, which will go live prior to the event.
  • The standard room setup is plenary, accommodating the room’s maximum capacity. At the front of the room, a chair table (max. 2 persons) and a lectern are provided for the speakers.
  • Speakers can navigate their slides using a pointer, and the laptop on the lectern serves as a display screen for the speaker.
